What is Interlibrary Loan?
Interlibrary Loan is a service through which materials not owned by the Harold Kohn Vision Science Library are provided to:
  • Currently-enrolled SUNY Optometry Students: Articles & Book Chapters ONLY
  • Active SUNY Optometry Faculty, Residents, Graduate Students & Staff
  • Adjunct Faculty - must submit appointment letter to the ITS Department along with a complited User Account Authorization Form

  • Unfortunately, licensing and copyright costs prevents us from offering ILL to Alumni.
    What is Document Delivery?
    Document Delivery is a service for materials available in our print and electronic collections offered to:
  • Active SUNY Optometry Faculty, Adjunct, & Residents
  • Alumni, Emeriti, and Optometry Students on external rotations

  • Unfortunately at this time, DDS is not available to on-site students.
    What is ILLiad?
    ILLiad is the electronic system used for requesting Interlibrary Loan and Document Delivery materials which are not available through SUNYOptSearch. The name ILLiad is an acronym for InterLibrary Loan internet accessible database.
    How long does it take to receive an item?
    Our goal turn-around times are listed below; however, there are several factors involved and your request may take longer. We ask you to please plan accordingly if you are working on a paper or presentation.
  • Books: 5-7 days.
  • Articles: are typically ready to download within 1-2 business days.

  • How will I know when my request arrives?
    You will be notified by ILLiad when your article request is available for download or book request is ready for check out (pick-up).
    How can I speed up my requests?
    For Books, use SUNY Optometry's Worldcat.
      This will search our Catalog as well as the World Catalog and automatically populate the ILL request form for you if we do not have the item. Click the Request via ILLiad link on the item you want, and submit.

    For Articles for which you have a citation (at least a journal & article title and year), PMID, or DOI, try our Citation Look-up Tool.
      This will search our journal collections (including print) and tell you if we have full text availability or automatically populate the ILL request form for you if we do not have the item.
    Where do I begin searching for my topic?

    How long may I keep ILL material?
    The length of the loan is determined by the lending library. It can vary 4-8 weeks. It can also be shortened if an item is recalled. Be sure to leave the identification band on the cover of the book. Please try to return or renew books on time, late return of materials jeopardizes our Interlibrary Loan relationship with other libraries.
    What happens if I lose or damage an item that was interlibrary loaned for me?
    If you lose or damage an item you have borrowed, you may be held responsible for the repair or replacement of that item. The lending library will send a bill which will then be added to your account. ILL borrowing privileges will be suspended until the balance is paid.
    Why don't I see all my older requests when I look at my request history?
    From time to time we purge older records from ILLiad. Our policy is to keep requests online for several months in compliance with record keeping requirements of the copyright law.
    Whom do I contact if I have problems with or questions about Interlibrary Loan or Document Delivery?

    Why does my browser say that you're sending a cookie? What's in it?
    The technology that we use sends a Session ID to be stored on your machine. You may refuse this cookie and still be able to use ILLiad. You may view SUNY College of Optometry's Privacy Policy here.

    Submitting Interlibrary Loan Request
    All requests must be submitted through ILLiad. Please don't send requests via email; that would only delay the process. Placing your request in ILLiad will ensure its prompt attention.
    Policies for All Interlibrary Loan Requests
    • Pick up and return all physical ILL materials at Kohn Library's circulation desk.
    • All received items are subject to the borrowing policies of the lending library.
      • Overdue fees may be assessed by the lending library.
      • ILL fees will be placed on your SUNY Optometry account and cannot be overridden.
    • Whenever possible the Kohn Library will provide ILL services without a charge to the patron.
      • We do not cover copyright fees, purchases of entire items, lost or damaged materials, rush fees, special services fees or repair/replacement costs.
      • If the item cannot be obtained free of charge, you will be notified. If you are willing to pay, the item will be ordered; if not, the request will be canceled.
    • Re-submission of a request that was never picked up or viewed via PDF may result in the cancelation of such request
    Are there copyright issues?

    The copyright law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted materials. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specified conditions is that the photocopy or reproduction is not to be “used for any purpose other than private study, scholarship or research.” If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of “fair use,” that user may be liable for copyright infringement. Harold Kohn Library reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of copyright law.

    In addition, there are further limitations on the number of requests. The Library is limited to requesting no more than 5 articles from the same journal with a copyright date within the past 5 years. Once this limit is reached (first-come, first-served) further articles from that journal are available on an at-cost basis.

    Limitations
    • Kohn Library reserves the right to limit users to no more than 10 active book requests at a time.
    • Per per semester: Faculty 100, Graduate Students 50, OD Students, Adjunct & Alumni 20.
    • 10 ILL requests a day
    • The following items cannot be requested:
      • eBooks
      • Textbooks
      • Items in our Reserve collection
    • Items that may be difficult to obtain through ILL include:
      • New material; test preparation material; software; reference books; multiple chapters from the same book/journal; rare books.
    • Book Chapter Requests: ONE CHAPTER ONLY
      • Faculty & Graduate Students - Books owned and not owned by the Kohn Library.
      • OD Students - Books NOT owned by the Kohn Library ONLY.
